We are seeking a Dental Practice Manager to lead and coordinate operations across our dental clinics. In this key leadership role, you will be responsible for providing leadership in planning, guiding, and coordinating practice operations for HealthFirst Bluegrass dental clinics, provide day-to-day supervision of assigned staff, and ensure operational excellence by collaborating on department wide and organizational wide improvement that is aligned with the organization’s vision, mission and strategic goals utilizing HealthFirst’s Management system and tools.

ESSENTIAL DUTIES and RESPONSIBILITIES

    5. Engage with other leaders for input on policies and procedures and communicate effectively with organization
  • Maintains daily operations of the dental clinic including managing patient flow and ensuring all operations are in compliance with HFBG’s policies and procedures, external agency requirements and all local, state and federal statutes
    1. Training and structuring daily huddles with dental staff; coordinating and leading staff meetings for dental department and teams
    2. Provide leadership and supervision for dental team. Identifies areas of concern for teams and brings forward recommendations for resolution and feedback/follow-up
    3. Works with the appropriate staff in the office, assures provider schedules are at a level to achieve patient access goals set by organization
    4. Makes recommendations for staffing levels at the site based on site productivity and patient need
    5. Assisting with the oversite of the patient registration process with Patient Access Manager
    6. Participating in onboarding and on-going training programs
  • Directly impacts the financial health for the department. Reviews financial statements, budgets, and staffing; ensures set targets for schedules and budget are being met; identifies barriers to meeting goals working with clinical directors and practice managers
  • Promoting quality, safety and patient-centered approach to all operations and care
  • Identifies improvement activities and works directly with COO, Operations Director and Quality Director to ensure department is meeting all identified goals for the strategic plan and Key Performance Indicators for the department(s).
  • Works with Quality to assess improvements made in systems or processes, system efficiency, innovation, and creativity as well as commitment to generating new solutions and ideas following HealthFirst’s Management Approach and Tools.
  • Participate in appropriate management-related meetings and activities
  • Assure there is reporting of all incidents in accordance with the Incident Reporting Policy and Procedure and ensure the team is appropriately following HFBG’s risk management processes.

SUPERVISORY RESPONSIBILITIES

This position is responsible to monitor, mentor and train staff while promoting team building and a positive work environment. Will interview, hire, assign, direct and evaluate performance and conduct corrective action as necessary. Will maximize employee performance through development, goal setting, and regular constructive feedback. Will lead regular team meetings to collaborate, plan and prioritize. This position directly supervises Dental Assistants; will assist the Chief Dental Officer with supervisory tasks for dentists and hygienists.

EDUCATION and/or EXPERIENCE

Bachelor’s degree in related field, or an equivalent combination of education and experience. Three + years experience in a dental clinic, with at least 1 year of direct supervisory experience. Proven success implementing continuous improvement principles and methodology.

SPECIAL KNOWLEDGE and SKILLS

This position requires knowledge of dental clinic practices. Must have effective oral and written communication skills, excellent interpersonal skills, and intermediate computer literacy. Knowledge of federal, state and local regulations governing dental clinics and related programs. Knowledge and ability to apply principles of management to provider support operations. Skills required in management, formal presentations, use and promotion of teamwork and team management. Ability to successfully collaborate across all inter-department levels and execute plans to achieve organizational success.

LANGUAGE SKILLS

Incumbent must possess the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Incumbent must possess the ability to write reports, business correspondence, and procedure manuals; effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

REASONING ABILITY

Incumbent must possess the ability to solve practical problems and must have the ability to understand established systems and processes to assure the unit adheres to established processes. Incumbent must possess the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS

Predominantly sedentary; some repetitive hand movements via keyboard; light lifting up to 5 lbs; occasional bending and lifting; near vision acuity; hear and understand spoken communication, speak clearly so others understand.

WORK ENVIRONMENT

The work environment is primarily in clinic or office environment; noise levels are moderate. Frequent interaction with clinic visitors, clients, patients. May be exposed to sick/ill patients. Occasional travel between worksites. Minimal weekend or overtime work. May require occasional PPE.
