Job Summary

We are seeking a highly organized and detail-oriented Service Support Specialist to join our team. The successful candidate will provide critical support to field service operations teams, customer service, inventory management, and billing as well as perform a wide range of administrative tasks to ensure the smooth operation of our office. This role ensures the smooth execution of administrative, data, and communication tasks to keep service delivery accurate, timely, and compliant.

Responsibilities

Customer Communication

  • Serve as the first point of contact for incoming calls and emails, directing inquiries to appropriate personnel.
  • Respond to customer inquiries regarding products, services, pricing, and order status.
  • Maintain high levels of customer satisfaction by resolving concerns and providing timely updates.

Service Dispatch and Coordination

  • Process service requests and create service cases; coordinate dispatch and communicate with technicians.
  • Support field service calendars and availability tracking as required
  • Complete Quality Assurance checklists; verify test equipment calibration and compliance status.
  • Coordinate contract renewals and ensure documentation is up to date.

Data Management, Compliance and Documentation

  • Create service cases, calendar schedules, and documentation in support of service delivery.
  • Maintain accurate records in NetSuite for equipment, vendors, contracts, and customer accounts.
  • Maintain contract files, calibration records, and other service-related documentation.
  • Support internal audits and QA procedures with accurate and timely record-keeping.

Order Processing & Inventory Management

  • Enter and manage purchase orders (POs) for capital equipment, in-stock and outsourced items as required.
  • Support order tracking, vendor communications, and inventory replenishment.
  • Monitor office and field personnel supplies; assist with warehouse intake and inventory control.

Billing & Financial Administration

  • Prepare and process invoices for repairs, contracts, and T&M (Time & Materials) billing as required.
  • Support accounts receivable (AR) and accounts payable (AP) tasks, including invoice reviews and credit card reconciliations.
  • Process customer payments and follow up on PO numbers and invoice discrepancies.

General Administrative & Office (as required)

  • Sort and route incoming mail; maintain office cleanliness and supply stock.
  • Prepare and print shipping labels, technician uniforms, and equipment tags.
  • Support training efforts through documentation and creation and maintenance of onboarding materials.
  • Maintain and report Motor Carrier, IFTA, and USDOT records as required by transportation regulations.
  • Support compliance with FDA, state, and vendor documentation as required.

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred
  • Proven experience in an administrative support role
  • Excellent organizational and multitasking skills
  • Strong attention to detail and accuracy
  • Proficient in Microsoft Office Suite and ability to learn new software (e.g., NetSuite)
  • Effective communication skills, both verbal and written
  • Ability to work independently and as part of a team
