Events Operations Manager – New York City
We are seeking an experienced and highly organized Events Operations Manager to join our team. This role will be responsible for managing all operational aspects of both private and member events, from working with the sales team in the initial planning through final execution. They will take a hands-on role, and will close on Friday and Saturday nights. The ideal candidate will possess strong leadership and communication skills and will be able to ensure seamless event delivery through effective coordination of staff, vendors, and logistics.
Key Responsibilities:
Manager on Duty (MoD) and Shift Leader Assignments
- Owning the club events through the week including closing Friday and Saturday nights (1am close)
- Assign daily MoD responsibilities to staff members and Shift Leaders, ensuring proper event oversight.
Event Operations Management
- Oversee event operations from setup to teardown, ensuring smooth execution and adherence to client and company standards.
- Attend BEO (Banquet Event Order) meetings to review and confirm event details.
- Review BEOs with assigned Managers to ensure all aspects, such as beverage pars, dry goods, staffing pars, and duty delegations, are prepared and set for success.
- Print and distribute BEOs for upcoming events, ensuring timely preparation.
Vendor & Inventory Management
- Coordinate audiovisual, lighting, and technical requirements with in-house and external partners.
- Oversee the management of third-party invoices and ensure vendors are paid weekly.
- Pay staff weekly and ensure third-party vendors are compensated in a timely manner.
- Manage outsourced or additional staff for events as needed and gather Certificates of Insurance (COIs) for all third-party vendors.
- Collaborate with the Beverage Manager to ensure proper inventory levels, recipe coordination, and supplementary orders for events.
- Manage the ordering of other supplies (e.g., napkins, toilet paper, consumables) and flag any possible concerns for high tier events.
Event Execution & Communication
- Lead and manage events with budgets under $50k, ensuring all operational aspects are handled efficiently.
- Collaborate with the event sales team, clients, Chefs, and staff to ensure seamless delivery of menus, chef presence, food delivery, and event execution.
- Provide clear and concise communication to all stakeholders involved in the success of an event, ensuring roles and responsibilities are understood.
Facility & Supply Management
- Coordinate furniture removal and replacement for events as necessary.
- Oversee and/or delegate on-site management of all event vendors, including security, rentals, floral, and audiovisual teams.
- Project supply needs for the department, including china, glass, silverware, buffet presentations, props, coat racks, linens, and signage holders.
- Ensure established sanitation and safety levels are maintained at all times.
Private Event Planning & Execution
- Attend site visits and perform final walkthroughs with clients to ensure pre-event preparations meet expectations.
- Collaborate with the Beverage Manager and other departments to ensure all event details are aligned and ready for execution.
Administrative Duties
- Follow and enforce Standard Operating Procedures (SOP) for end-of-day (EOD) recaps and private event checks.
- Book and approve all security invoices, ensuring alignment with event budgets and needs.
- Operate ethically and responsibly to protect the assets and reputation of the company.
Other Responsibilities
- Adhere to health, safety, and sanitation standards.
- Perform additional duties, tasks, and responsibilities as per business needs.
- Be a collaborative and supportive team player, contributing to the overall success of the events team.
Qualifications:
- 3-5 years of experience in event operations, hospitality, or related fields.
- Proven ability to manage staff, vendors, and event logistics efficiently.
- Strong knowledge of audiovisual, technical, and facilities management.
- Excellent communication skills, with the ability to coordinate multiple projects and multiple people
KNOWLEDGE, EXPERIENCE AND SKILLS
- Minimum 2 years’ experience in an Event Operations Manager role preferably within luxury setting in an upscale, high-end environment
- Exceptional guest service and hospitality skills with experience managing high profile events and VIP clientele
- Bachelor’s Degree preferred
- Strong contacts within the events and meetings industry
- Excellent track record of developing strong client relationships
- Experience in coordinating a combination of full-time, seasonal, and contractor staff
- Excellent communication and interpersonal abilities.

PHYSICAL REQUIREMENTS
- Ability to lift and carry items weighing 50 pounds on a regular basis.
- Ability to stand for prolonged periods of time.
- Ability to move on foot to accomplish tasks, particularly frequent movements from place to place within the property. Bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, climb steps regularly, or otherwise move in a constantly changing environment.
COMPENSATION
The base pay range for this position is $70,000 - $100,000 annually with full benefits (including dental and vision) and bonus. The determination of what a specific employee in this job classification is paid within the range depends on a number of factors, including, but not limited to, prior employment history/job-related knowledge, qualifications and skills, etc.
