About Us:

eCap is a leading executive level conference and networking experience company across healthcare and real estate, including the eCap, eCapWest, eCore and BHASe Summit events. We’re known for delivering high impact branding, exceptional event experiences and meaningful connections across industries.

We’re seeking a full-time Conference Coordinator to join our team. A successful candidate in this role will be extremely organized, an excellent communicator and enjoys working at a fast pace while managing the registration logistics of multiple conferences simultaneously.

Key Responsibilities:

Conference Management

  • Provide support in creating and maintaining event timelines, checklists and other planning documents.
  • Support team with backend data within CVENT, Monday.com and HubSpot.
  • Collaborate effectively across internal teams to ensure successful execution of conferences.

Cvent Platform Management

  • Assist with creation and management of conference websites, registration forms, email campaigns, and mobile app using Cvent.
  • Manage attendee registration and conference specific enquiries and communication.
  • Support integration between Cvent and CRM (HubSpot), payment and analytics.

On-site Management

  • Provide on-site coordination including registration, attendee assistance and troubleshooting during live events.

Requirements:

  • Bachelor’s degree with a minimum of 3 years of experience in conference planning and/or meeting/event management.
  • Experience with Cvent event platform (required), Microsoft Office Suite and working with project management platforms (Monday.com a plus).
  • Excellent written and verbal communication skills and thorough follow-up.
  • A positive and flexible mindset, with the ability to perform in a fast-paced and dynamic environment.
  • Hands-on self-starter who is detail-oriented, demonstrates initiative and would proactively contribute to ideas and solutions.
  • Available to work in office 4 days per week in Lakewood, NJ.
  • Available to travel to 4 domestic conferences per year (approximately 4 days per conference).
